Communication Plan

The communication plan, which is associated with each change type, can be used to inform stakeholders who are not direct users of ChangeBreeze.

Stakeholders are added by entering email addresses, separated by commas (e.g., [email protected], [email protected]).

Additional communication details are also included in the email's content for stakeholders.

If the "Attach Change Plan PDF" option is selected, stakeholders will receive the entire change plan as a PDF attachment.

When notifications are sent:

✅ Change Created & Submitted for Review
✅ Change Approved & Scheduled
✅ Change Implementation Started
✅ Change Completed Successfully
✅ Change Failed/Rolled Back

Important Notes:

  • These stakeholders receive business-focused emails without technical details
  • They do NOT receive notifications during technical/operational approval stages
  • Email addresses are validated on form submission

 Best Practices

Do:
✅ Use distribution lists for departments (e.g., `[email protected]`)
✅ Include decision-makers and affected business users
✅ Keep the list focused and relevant
✅ Update stakeholder lists as organizational structure changes
✅ Use consistent email addresses across similar changes
 
Don't:
❌ Add internal users who have platform access
❌ Include unnecessary recipients (email fatigue)
❌ Use personal email addresses for business notifications
